Australind SES volunteers play a significant and vital role in helping to ensure our local community is safe. We are seeking a motivated and organised Administration Officer to support the day-to-day running of the Unit.This is a non-operational support role, ideal for someone who enjoys organisation, communication and working as part of a team.

Key Responsibilities

  • Provide administrative support to Unit Management
  • Maintain accurate records and reporting systems
  • Support strong communication within the Unit and with external stakeholders
  • Assist in ensuring compliance with reporting and governance requirements

Key Tasks

  • Provide secretariat support at Unit meetings, including preparing and circulating agendas and minutes
  • Record and monitor action items from meetings
  • Complete monthly activity reporting, including the Non-Operational Activity Report (NOAR)
  • Maintain attendance records via the Manage Our Volunteers, Assets & Training (MOVAT) system
  • Maintain accurate membership records and Unit filing systems
  • Monitor and manage Unit email correspondence
  • Manage volunteer applications for recognition awards
  • Assist with incident reporting documentation
  • Liaise with the Department of Fire and Emergency Services (DFES) regional office as required
  • Support the Local Manager and Deputy Local Manager
  • Support the Finance Manager and act in the role during periods of absence
  • Attend monthly meetings and the Annual General Meeting
  • Maintain a commitment to Occupational Safety and Health

Requirements

  • Driver's Licence (C)
  • National Police Certificate *

National Police Clearance will be provided at no cost to you.
Some specialised roles require a high level of fitness.
