Bushfire volunteers play a vital role in helping keep their local communities safe. The Secretary/Treasurer is a key support role within the Brigade, providing administrative, governance, and basic financial support to ensure smooth day-to-day operations.Working closely with brigade leadership, Local Government, and relevant agencies, the Secretary/Treasurer helps maintain accurate records, supports effective communication, and assists with simple financial processes to ensure the Brigade meets its governance requirements.
Key Responsibilities
- Provide effective administrative and financial support to the Brigade
- Help ensure brigade records and documentation are maintained
- Assist with basic financial administration such as recording income, expenses, and invoices
- Act as a key communication link between brigade members, Local Government, and external agencies
- Support brigade leadership with internal and external communications
- Assist in ensuring the Brigade meets reporting needs
Key Tasks
- Prepare meeting agendas and record accurate minutes for brigade meetings
- Maintain organised and up-to-date brigade records and documentation
- Monitor and manage the brigade email account and coordinate correspondence
- Maintain membership records, including member lists and new member processing
- Record and track brigade expenses, donations, and purchases
- Assist with processing invoices and maintaining simple financial records
- Liaise with the Shire of Harvey and the DFES regional office when needed
- Distribute Local Government and DFES circulars, training updates, and relevant communications
- Provide administrative support to committee members and volunteers as required
